How to approve or decline what an agent prepared

Read what an agent wants to do, change a word if you like, and let it run or send it back

An agent that asks before acting puts each action in a queue for you. Each one says who it is about, why the agent wants to do it, and exactly what will go out. You approve it, edit it first, or reject it with a reason the agent learns from. Nothing in the queue happens until you decide, and anything left for 72 hours expires on its own.

Note: What asks and what does not: reads never ask. Anything that leaves the building, such as sending an email, posting to a connected app or enrolling someone in a campaign, asks unless you turned approvals off.
Note: Keyboard: with the queue open, a approves, r rejects, e edits the draft, and the arrow keys move between items.

Before you start

  • An agent that has prepared something
  • About 4 minutes

Find what is waiting

Step 1: See the count on Cipher Agents

  • Open Cipher Agents from the left menu. A bar at the top says how many actions are waiting; click Review to open them.
  • The bell at the top right and the agent's own page show the same count.

Step 2: Open the queue

  • The queue is the Approvals tab of Shared settings. What may run without you at the top is the rule for every agent; Always ask me first is the safe setting.
  • The items waiting are listed on the left, newest first, with a filter above them for the kind of action.

Decide

Step 3: Read why

  • The item on the right says which agent wants to do what, how serious it is, and under Why the reason it chose this person.

Step 4: Check what will go out

  • For an email, the Subject and each step are shown as they will be sent, with the wait before each follow-up.
  • Click Edit on a step to change the words. Your version is what goes out, and the agent learns from the difference.

Step 5: Approve or reject

  • Click Approve to let it run, or Approve my version if you edited it.
  • Click Reject and give a reason. The agent reads the reason and does not prepare the same thing again.
  • An item nobody decides on expires after 72 hours and is dropped. Nothing is sent for it.

Step 6: Let an agent run without asking

  • Once an agent has been right often enough, choose Auto-approve everything under What may run without you. It applies to every agent; the agent's own page under Personalize agent can set one agent differently.
  • Only an Owner or Admin can change this, and a tool that spends credits still asks.

Troubleshooting

The queue is empty but the bell says something is waiting

The item may belong to another agent's filter. Click All above the list, or open the agent's own page and click Review them.

I approved something and nothing happened

The item shows a receipt once it ran, with an error if it could not. A send from a paused or disconnected mailbox fails until the mailbox is fixed on Email Accounts.

I rejected by mistake

A rejected item cannot be brought back. The agent will prepare it again on its next run if it still fits, so turn the agent on or ask Cipher AI to run it.
