Automations: build a simple flow

Build a custom agent on the canvas, from a trigger through the steps it runs, test it, and switch it on

Updated 11 October 2026

The guided agents cover the common jobs. For anything else, build a custom agent: a flow that starts on a trigger, such as a reply arriving or a lead changing status, and runs the steps you lay out, such as adding a label, moving someone to a list, waiting a day, or sending a webhook. You draw it on a canvas, test it on one record, and switch it on.

Note: What it costs: a flow with no AI step costs nothing to run. A step that asks Cipher AI to write or decide uses 5 credits each time it runs.
Note: Ask AI can build the first draft. Describe what you want in a sentence and it lays the nodes out; you then adjust them.
Note: A flow is off until you switch it on, and a published change takes effect on the next run.

Before you start

  • An idea of the trigger and the two or three steps you want
  • About 8 minutes

Start a flow

Step 1: Open Create agent and choose Build custom

  • Open Cipher Agents in the left menu and click Create agent.
  • Click Build custom at the top of the catalogue. A blank canvas opens with the agent in Draft.

Step 2: Name it and add the trigger

  • Click the name at the top left and type what the flow does, such as Label hot replies.
  • Click Add a Trigger in the middle of the canvas and pick what starts the flow: a reply arrives, a lead changes status, a booking is made, a schedule.

Step 3: Add the steps

  • Click the plus button at the top right of the canvas, pick a category, then a node. It drops on the canvas; drag between the dots to connect it to the step before.
  • A condition node splits the flow into true and false branches. A wait node pauses it for the time you set.
  • Click a node to set it up on the right.

Step 4: Or let Ask AI build it

  • Click Ask AI, describe the flow in a sentence, and it lays out the trigger and the steps for you to adjust. This uses credits.

Test it and switch it on

Step 5: Run a test

  • Click Run Test. The flow runs once on a sample record and each node shows what it did, so you can see a wrong branch before anything real goes through it.

Step 6: Publish and switch it on

  • Click Publish to save the version that runs. Then use the switch next to it to turn the flow On.
  • It now runs every time the trigger fires. Its runs are listed under the agent on Cipher Agents, and anything it prepares that needs you shows under approvals.

Troubleshooting

Run Test is greyed out

The flow has no trigger yet. Add one first; a test needs to know what record to run on.

It published but never runs

Check the switch next to Publish is On, and that the trigger's conditions can be met: a trigger on a label that nothing sets never fires.

I changed a node and nothing changed

Changes run only once published. Click Publish again after editing.

Where are my old automations?

Automations became custom agents. Everything you built is under Cipher Agents, filtered by All types.
