CRM: leads, opportunities and tasks

One place for everyone you have contacted, where each one stands, what they are worth, and what to do next

The CRM is where your contacts live once they are more than a row in a campaign. My Contacts holds everyone, with their status and labels. Opportunities is a board of the ones with money on them, from Interested through Meeting booked to Won. Tasks is what you promised to do. Replies in Unibox, labels and bookings all flow into it on their own.

Note: Where contacts come from: Import from campaigns pulls in everyone in your campaigns; Super Search saves the people you pick; a reply from someone new adds them. Lists group contacts for a campaign or a follow-up.
Note: Statuses and labels: a status is where someone is in the pipeline (Interested, Meeting booked, Won, Lost). A label is anything else you want to remember about them. The AI Reply Agent sets statuses from replies when you have one.
Note: Deal value: each opportunity carries a value, your default or one you set, and Reports adds them up.

Before you start

  • At least one campaign with leads, or a list to import

My Contacts

Step 1: Open the CRM

  • In the left menu, point to the paper plane icon to open Outreach, then click CRM.
  • The CRM has its own menu: Inbox, Opportunities, My Contacts, Lists, your Campaigns, Salesflows, Reports and Preferences.

Step 2: Bring your contacts in

  • Click Import from campaigns to add everyone in your campaigns who is not here yet. Nothing is sent and nobody is contacted; the rows are added.
  • People you save from Super Search and anyone who replies to you appear here on their own.

Step 3: Find and read a contact

  • Search by name, email, company or title, or filter by status.
  • Each row shows the contact's Status, Labels and where they are from. Click a row for their timeline: every email, reply, booking and note.

Step 4: Put contacts in a list

  • Under Lists in the CRM menu, click + Create new list, name it and click Add. Tick contacts and add them to it, then import the list into a campaign from its Leads tab.

Opportunities and tasks

Step 5: Move people through the pipeline

  • Opportunities is a board, one column per status, with the value of each column at the top.
  • Drag a card to another column when a conversation moves on. Click + Add deal under a column to add someone who is not on the board yet, with a value.
  • The same statuses can be set from the reply itself in Unibox, so a Meeting booked in a reply lands here without a visit.

Step 6: Keep your tasks

  • Under Inbox in the CRM menu, click Tasks. Type a task, give it a date and click Add task.
  • A task made from a reply is tied to that contact. Open ones are listed here, dated ones under Upcoming tasks, finished ones under Done.

Step 7: See how it is going

  • Reports adds it up: opportunities created and won, meetings booked and completed, the conversion rate and won revenue, against the monthly goal you set.

Troubleshooting

Import from campaigns added fewer people than my campaigns hold

Each address is one contact. Someone in three campaigns is imported once, and people already here are skipped. The summary says how many were scanned and how many were added.

A contact's status changed and I did not do it

The AI Reply Agent sets a status from a reply it read, and a booking sets Meeting booked. The contact's timeline says what changed it and when.

I want a different set of statuses

Open Preferences in the CRM menu. Statuses can be renamed, reordered and added; the Won and Lost ones drive the conversion rate on Reports.
