How to Set Up and Verify Your Domain
Go to postmaster.google.com and sign in with any Google account. Click the plus icon to add a domain. Enter your sending domain (the domain in your From address, e.g. yourdomain.com). Google generates a DNS TXT record for verification.
Copy the record. It looks like google-site-verification=randomstring. Add it to your domain's DNS zone at your registrar or DNS provider. The record goes on the root domain or the exact subdomain you want to monitor. If you send from mail.yourdomain.com, verify that subdomain. If you send from user@yourdomain.com, verify the root.
Wait for DNS propagation (usually under an hour, sometimes up to 24 hours). Return to Postmaster and click Verify. If the TXT record is live, Google confirms ownership and starts collecting data. You will not see charts immediately. Data appears once your domain sends enough mail to Gmail addresses to meet the threshold, and it updates daily, not in real time.
For agencies managing multiple client domains or rotating sender addresses, verify every domain you send from. Each domain gets its own Postmaster dashboard. If you send from ten different domains, verify all ten. Reputation is per-domain and per-IP. A single bad domain does not poison the others, but you need separate dashboards to monitor each.
If you send from subdomains (e.g. team1.yourdomain.com, team2.yourdomain.com), verify each subdomain individually. Google treats subdomains as separate entities for reputation purposes. Verifying the root domain does not automatically grant access to subdomain data.
Reading the Spam Rate Chart (and Why It Matters Most)
The spam rate chart shows the percentage of your mail that Gmail users marked as spam or that Gmail's filters flagged. This is the single most important metric in Postmaster, and it is the one metric Google attaches published numbers to. Google tells senders to keep the spam rate reported in Postmaster Tools below 0.10%, and to never let it reach 0.30% or higher [https://support.google.com/a/answer/81126, 2026-08-06]. Those are the only two figures Google publishes.
The chart plots daily spam rate as a percentage. Hover over any point to see the exact figure. Read that figure against Google's two numbers rather than against an industry average: 0.10% is where you want to sit, and 0.30% is the ceiling the receiver itself tells you not to touch. There is no published band above 0.30%, and we do not publish a typical range for cold email, because the rate is a function of your list and your copy rather than of the channel. What you watch is the trend line and the distance left to 0.30%.
Spam rate spikes happen for predictable reasons: sending to stale lists (addresses that have not engaged in months), poor targeting (irrelevant offers), aggressive follow-up cadences (five emails in three days), broken unsubscribe links, or misleading subject lines. A single bad campaign can spike your rate for days. The damage compounds because Gmail applies the reputation hit to all future mail from that domain, not just the campaign that caused it.
If your spam rate jumps, stop sending immediately from that domain until you identify the cause. Review the campaign that went out on the spike date. Check the list source, the copy, and the unsubscribe flow. Clean the list, rewrite the copy, or pause the sequence. Do not keep sending and hope the rate drops. It will not. Gmail's filters learn from user behavior, and a high spam rate trains the filter to distrust your domain.

Postmaster shows separate charts for domain and IP reputation. Each chart plots the reputation tier over time. If you see a drop from High to Medium, investigate immediately. Check the spam rate chart for the same date range. A reputation drop almost always follows a spam rate spike. The lag is usually one to three days.
High reputation means your domain has a clean history, low spam complaints, strong authentication, and consistent sending patterns. Medium means Gmail sees some risk: higher spam rates, authentication failures, or erratic sending volume. Low means significant problems: sustained high spam rates, frequent bounces, or policy violations. Bad means Gmail considers your domain a spam source. Mail from a Bad domain rarely reaches any folder.
If your domain reputation drops to Medium, you can recover by cleaning your list, lowering send volume, improving targeting, and waiting. Reputation improves slowly. Expect two to four weeks of clean sending before you see High again. If you drop to Low or Bad, recovery is harder. You may need to pause sending entirely, fix authentication, and rebuild reputation from scratch on a new subdomain.
IP reputation fluctuates more than domain reputation because it reflects the behavior of the specific sending server. If you send from a shared IP pool (common with ESPs), your IP reputation can drop because of another sender's bad behavior. This is why serious high-volume senders use dedicated IPs or rotate across many IPs. Postmaster shows IP reputation, but you control it by controlling the IPs you send from.
Authentication Pass Rates: SPF, DKIM, and DMARC
The authentication chart shows the percentage of your mail that passes SPF, DKIM, and DMARC checks. Gmail requires all three for reliable inbox placement. A 100% pass rate is the baseline for high-volume sending. Anything below 95% means you have a configuration problem that is costing you deliverability.
SPF (Sender Policy Framework) verifies that the sending IP is authorized to send mail for your domain. DKIM (DomainKeys Identified Mail) cryptographically signs your mail so Gmail can verify it was not tampered with in transit. DMARC (Domain-based Message Authentication, Reporting, and Conformance) ties SPF and DKIM together and tells Gmail what to do if authentication fails (quarantine, reject, or nothing).

A common failure mode for agencies: you send from user@clientdomain.com, but the mail server signs with DKIM for youragency.com. DMARC fails because the From domain and the DKIM domain do not align. Fix this by either sending from your own domain or configuring DKIM signing for the client's domain on your sending infrastructure.
Another common failure: SPF hits the 10-lookup limit. If your SPF record includes too many third-party services (your ESP, your CRM, your marketing automation tool), DNS lookups exceed the limit and SPF fails. A 90% pass rate means 10% of your mail is unauthenticated, and unauthenticated mail from a commercial sender goes straight to spam. There is no workaround. The delivery errors chart shows why Gmail rejected or deferred your mail. Errors fall into four categories: rate limiting, suspected spam, policy blocks, and bad reputation. Each category points to a different fix.
Rate limiting: Gmail throttles mail from your domain or IP because you are sending too much too fast. This is common when you ramp up volume suddenly (going from 500 emails a day to 5,000 overnight). The fix is to warm up your domain and IPs gradually. Increase send volume by 20% to 50% per day over two to three weeks. Do not jump from zero to full volume in one day.
Suspected spam: Gmail's filters flagged your mail as likely spam based on content, sending patterns, or recipient behavior. The fix is to improve targeting, clean your list, and avoid spam-trigger words in subject lines and body copy.
Policy blocks: Gmail rejected your mail because it violates a sending policy. Common causes: missing or broken unsubscribe links, spoofed From addresses, or mail that looks like phishing. Policy blocks are serious. If you see sustained policy block errors, review your mail for compliance with CAN-SPAM and Gmail's bulk sender guidelines. Fix any violations immediately.
Bad reputation: Gmail blocked your mail because your domain or IP reputation is Low or Bad. This is the hardest error to fix because it requires rebuilding reputation over weeks. The only path forward is to stop sending, fix the root cause (usually high spam rates or authentication failures), and then resume sending at low volume with a clean list.
Delivery errors lag behind the behavior that caused them. You might see rate limiting errors three days after a volume spike, or spam block errors a week after a bad campaign. Cross-reference the error chart with the spam rate and authentication charts to find the timeline. If errors spike on day X, look at what you sent on day X minus two or three.

When Postmaster Data Is Not Enough (and What Else You Need)
Google Postmaster Tools only shows data for mail sent to Gmail and Google Workspace addresses. If you send to Outlook, Yahoo, or corporate domains, Postmaster tells you nothing. Postmaster also does not show individual message data. You cannot see which specific email triggered a spam complaint or which recipient marked you as spam. You get aggregate percentages only. Review the list, the copy, and the targeting.
Finally, Postmaster data lags by 24 to 48 hours. You will not see today's spam rate until tomorrow or the day after. For high-volume senders, that lag is dangerous. A bad campaign can send 10,000 emails before you see the spike in Postmaster. By then, the damage is done. The fix is to monitor engagement metrics in real time (open rates, reply rates, unsubscribe rates) and use those as leading indicators. If open rates drop suddenly, pause sending and check Postmaster the next day.
