Warm-up technology is judged by what happens to your real campaign mail, not by the warm-up dashboard. Instantly.ai includes unlimited warm-up on its paid plans. SpamCipher runs warm-up on its own seed network and connects it to placement tests and automatic sending protection, so a mailbox that starts slipping is slowed before it damages the rest of the campaign. Five questions below help you judge any warm-up system.
Every serious sending tool now lists warm-up, so "has warm-up" no longer separates anyone. The questions that matter are where the warm-up traffic comes from, what it measures, and what happens when the numbers turn. This page explains how warm-up technology works, how Instantly.ai approaches it, and why SpamCipher treats warm-up as one signal among several rather than a feature on its own.
How email warm-up technology works
A new mailbox has no history, and mailbox providers treat no history with caution. Warm-up gives a mailbox a track record before campaign volume arrives: it sends a small, rising number of emails to other inboxes, and those inboxes respond the way interested people do. They open the mail, reply to some of it, move it out of spam when it lands there, and mark some as important.
Two design choices decide how useful that history is:
- Where the receiving inboxes come from. Many tools use a pool of their own customers' mailboxes that warm each other. Others run a network of inboxes they operate themselves. A pool is large and cheap; an operated network is controlled, so the provider mix and the behaviour of the receiving side are known.
- How the ramp is paced. Volume should rise gradually and stay inside a sensible daily cap. A ramp that jumps straight to campaign volume undoes the point of warming.
What warm-up cannot fix
Warm-up builds reputation. It does not repair the things that destroy it. If one of these is wrong, warm-up hides the problem for a while and then the campaign pays for it:
Fix these before you trust any warm-up result
- Authentication: SPF, DKIM and DMARC published and aligned with the sending domain.
- List quality: verified addresses, so bounces do not undo weeks of warm-up in an afternoon.
- Volume: campaign sends kept inside each mailbox's daily cap, spread across mailboxes.
- Content: no spam-trigger copy, no link shorteners, a plain-text-friendly message.
- Tracking: open and click links on your own tracking domain rather than a shared one.
Five questions to judge any warm-up system
- Where does the warm-up mail go? Ask which providers the receiving inboxes sit on. A warm-up network that is almost all one provider teaches you little about the others.
- Is the ramp paced for you? New mailboxes should climb gradually, with a cap, without you setting numbers by hand every week.
- How do you know it worked? The warm-up dashboard reports on warm-up traffic. Only a placement test with your real email, by provider, tells you where campaigns land.
- What happens when a mailbox slips? A warm-up feature that keeps a struggling mailbox at full campaign pace is reporting the damage, not preventing it.
- Is warm-up included for every mailbox? Check whether warm-up covers every sending mailbox in the plan, or a fixed number with paid extras.
How Instantly.ai approaches warm-up
Instantly does several things well here. Its pricing page, which we checked on October 26, 2026, lists unlimited email accounts and unlimited email warmup on the Growth plan at $47 a month, with 1,000 uploaded contacts and 5,000 emails a month. Hypergrowth is listed at $97 a month for 25,000 contacts and 125,000 emails. Instantly also sells done-for-you Google inboxes and offers inbox placement tests that send to a seed list across providers.
Warm-up there is a strong, generous feature. The comparison that matters is what surrounds it: how warm-up results connect to placement, to monitoring and to what the sending engine does on its own when a mailbox starts to struggle.
How SpamCipher approaches warm-up
SpamCipher is an AI-powered sales engagement platform, B2B lead intelligence database, and email deliverability and security suite in one product. Warm-up is one part of how it protects sending, and every part reads the same signals.
| Question | SpamCipher | Instantly.ai (from its site) |
|---|---|---|
| Where warm-up mail goes | SpamCipher's own seed network | Instantly's warm-up, unlimited on paid plans |
| Ramp for new mailboxes | Paced automatically over 14 days, inside each mailbox's daily cap | Warm-up included; ramp details set in the product |
| Proof it worked | Placement tests weekly for every sending domain, by provider, including Gmail tabs and Outlook Focused or Other | Inbox placement tests to a seed list |
| When a mailbox slips | Slows to half pace or rests on bounces, complaints, refusals, placement or blacklists; its share moves to healthy mailboxes | Global block list and bounce detection |
| Blacklists | Every sending domain checked every 6 hours, with guided delisting | Not stated on the pricing page |
| Warm-up coverage | Every mailbox on SpamCipher ONE ($94.99 a month) | Unlimited on paid plans |
The difference is the loop. In SpamCipher a placement drop is not just a red number: the Deliverability Agent can throttle or pause the mailbox that caused it and then re-check the same signal, and the sending protection that is on for every workspace slows a mailbox that crosses a line, then brings it back at half pace and to full pace after three clean days. Warm-up builds the history; the rest of the platform keeps campaign volume from spending it.
A worked example: five new mailboxes
An SDR team adds five mailboxes on two new domains for a product launch.
- Days 1 to 14: each mailbox ramps on the seed network inside its daily cap. The team writes the sequence, verifies the list and sets up SPF, DKIM and DMARC from the guided dialog.
- Before launch: a placement test with the real first email shows where it lands at Gmail and Outlook. The team can require a passing test before the campaign is allowed to start.
- Week three: one mailbox starts getting refusals from one provider. It slows to half pace for that provider while the other four carry its share; nobody has to notice it first.
- After three clean days: it returns to full pace on its own.
Which to choose
If all you need is warm-up on a long list of mailboxes, most modern tools will run it. If you want warm-up that is measured and acted on, alongside sequences, replies, lead search, list verification, DMARC and domain monitoring in one plan, SpamCipher covers more ground. Start with the sending and warm-up and inbox placement pages, or start the 30-day free trial, which includes warm-up on one mailbox and an inbox placement test.
